Action Theatre Club – Terms & Conditions

By enrolling a child at Action Theatre Club, parents/guardians confirm that they have read, understood, and agree to the following terms and conditions.

.1. All student places at Action Theatre Club are offered on an ongoing basis and automatically renew at the end of each term or payment period unless cancelled in writing.

1.2. A minimum of four (4) weeks’ written notice is required to cancel a place.

1.3. Failure to provide the required notice will result in fees being payable for the notice period.

2. Fees, Refunds & Exchanges

2.1. Once a place has been confirmed, no refunds or exchanges will be offered under any circumstances, including but not limited to illness, absence, holidays, timetable changes, or missed classes.

2.2. Missed sessions cannot be transferred or credited to future classes.

3. Attendance, Drop-off & Collection

3.1. Parents/guardians are responsible for dropping off and collecting their child at the designated class times.

3.2. Students will only be released to adults authorised on the enrolment form.

3.3. Action Theatre Club accepts responsibility for students only during their scheduled class times

. Children must be collected promptly at the end of their class.

4.2. Persistent late collection may result in additional charges and/or the termination of the student’s place without refund, in line with safeguarding procedures.

5. Illness & Health

5.1. Students must not attend classes if they are unwell, have been sick, or have had a temperature within the previous 48 hours.

5.2. This policy is in place to protect the wellbeing of all students and staff..


6. Medical Information

6.1. Parents/guardians must ensure that all medical, allergy, and emergency contact information is accurate and kept up to date.

6.2. Action Theatre Club cannot be held responsible for issues arising from outdated or incomplete medical information.

7. Safeguarding

7.1. Action Theatre Club is committed to safeguarding and promoting the welfare of children and operates in line with UK safeguarding legislation and best practice.

7.2. All staff are DBS checked and follow the Action Theatre Club Safeguarding Policy, which is available upon request.

7.3. Parents/guardians must not enter teaching spaces during class time unless invited by a member of staff, in line with safeguarding procedures.

8. Filming & Photography

8.1. Classes may be recorded or photographed for rehearsal, training, and internal educational purposes.

8.2. With parental consent, images or footage may be used for promotional purposes (including website and social media).

8.3. Parents may withdraw promotional consent in writing at any time.

9. Student Code of Conduct

9.1. All students are expected to follow the Action Theatre Club Student Code of Conduct, which promotes respect, safety, and positive behaviour.

9.2. Any student who does not adhere to the Code of Conduct may be asked to leave the class or the school permanently.

9.3. In such cases, no refunds will be issued.

10. Parent/Guardian Conduct

10.1. Parents/guardians are expected to behave respectfully towards staff, students, and other families.

10.2. Abusive, aggressive, or inappropriate behaviour from parents/guardians may result in the immediate termination of the child’s place without refund.

11. Liability & Risk

11.1. Theatre training may involve physical movement. Parents/guardians acknowledge that participation is at the student’s own risk.

11.2. Action Theatre Club will not be held liable for injury unless caused by proven negligence.

11.3. The school maintains appropriate public liability insurance.

12. Personal Property

12.1. Action Theatre Club is not responsible for loss or damage to personal belongings.

12.2. Students are advised not to bring valuables to classes.

13. Class Changes, Cancellations & Substitutions

13.1. Action Theatre Club reserves the right to change teachers, venues, class times, or timetables where necessary.

13.2. In the event of a class cancellation by Action Theatre Club, sessions may be rescheduled or credited at the school’s discretion.

14. Force Majeure

14.1. Action Theatre Club will not be held liable for cancellations or changes caused by events beyond its control, including but not limited to extreme weather, venue closures, or government restrictions.

14.2. Refunds may not be issued in such circumstances.

15. Data Protection (UK GDPR)

15.1. Personal data will be collected, stored, and processed in accordance with UK GDPR and the Data Protection Act 2018.

15.2. Information will be used solely for the purposes of running Action Theatre Club and will not be shared with third parties without consent.

16. Acceptance of Terms

16.1. Submission of an enrolment form and/or payment of fees constitutes full acceptance of these Terms & Conditions.

16.2. It is the responsibility of the parent/guardian to read and understand this document.
